Capability — Inside Freight CRM

The AI Sales Copilot for Freight Forwarders

An AI sales copilot for freight forwarders is an agent inside the CRM that plans each rep's day and does the record-keeping. Zavin's copilot shows who is waiting on a reply, which customers have gone quiet, and which deals have no next step. The rep types one line; Zavin plans the call, logs the outcome, or drafts the email.

Sales Copilot is part of Zavin's Freight CRM + Trade Intelligence module. Zavin is the AI operating system for freight forwarders.

Why Freight Sales Teams Stop Updating the CRM

A freight salesperson is paid to win lanes, not to fill in fields. After a site visit to a shipper moving forty-foot containers from Nhava Sheva to Rotterdam, the useful part of the day is the conversation. The admin part — opening the account, logging the meeting, writing the notes, setting the follow-up — is the part that gets pushed to Friday, then skipped.

So the pipeline goes stale. Managers stop trusting it, and the CRM becomes a reporting chore that nobody uses to sell. Most CRMs answer this with more mandatory fields, which makes the problem worse.

Zavin turns it around. The rep says what happened in a sentence, and the copilot makes the changes. The CRM updates as a side effect of the rep doing the actual work.

Your Day, Ready When You Log In

The Sales Control Tower opens on the rep's day, and every row explains why it is there:

1

Day Start — customer emails waiting on a reply, today's calls, meetings, and visits, customers quiet for 30 days or more, and deals with no next step.

2

Week at a glance — a planner of what is coming, so nothing lands as a surprise on Thursday afternoon.

3

Attention — the rows that need a decision now, each with a reason and a priority.

4

Day Close — record a meeting's outcome in one click, then accept a thank-you email written from the notes you saved.

What the AI Sales Copilot Does From One Line

The copilot is a real agent, not a form with a chat box on top. It reads the instruction, works out which records it touches, and makes the change with the rep's own permissions. A rep can write “Move my call with Al Noor Trading to Thursday at 3pm,” or “Met Sara at Gulf Polymers — they want a 40HC rate to Hamburg, follow up Monday,” and Zavin logs the meeting, saves the notes, and plans the follow-up.

If the rep gives no time, Zavin picks the first free slot in their Zavin planner, with a 15-minute buffer. If two things clash, it still plans the activity, says so plainly, and offers a free time the rep can accept in one click.

  • Plan a new call, meeting, visit, or email with a customer.
  • Move a planned activity to another day and time, or cancel it.
  • Log an outcome and notes against an activity that already happened.
  • Change a deal's expected close date.
  • Draft heads-up, thank-you, follow-up, introduction, and reply emails.

The Right Next Move for Every Situation

Each row in the tower comes with the two moves that usually make sense, so the rep chooses rather than composes. The suggestions follow the situation, not a fixed script.

  • A customer email is waiting — reply now, or call them instead.
  • A meeting is on today and no heads-up has gone out — send one, or postpone.
  • A customer has been quiet for 30 days or more — a catch-up email, or plan a call.
  • A company has never been contacted — an introduction email, or a first call.
  • A deal has no next step — plan one before it drifts.

Emails That Sound Like Your Rep

Every draft starts from what Zavin already knows about the account: the contacts, open deals, the last touch, open quotes, live shipments, and the tone of recent emails. A thank-you after a visit references what was actually discussed; a catch-up email to a quiet shipper mentions the lane they last moved.

When a rep edits a draft, Zavin learns a short style note for that person — shorter sign-offs, no “hope you are well,” first names only. Each rep keeps up to six notes and can delete any of them with one tap. Nothing reaches a customer until the rep clicks Send.

Nothing reaches a customer until the rep clicks Send.

What Zavin Knows About the Account

Before a call, the rep can open a short account summary: who the contacts are, which deals are open, when the customer was last touched, which quotes are outstanding, which shipments are moving, and how recent emails have read. It refreshes on demand and is built from the same records the CRM already holds, so it never disagrees with the account page.

Because Zavin also reads the inbox and creates shipments, the summary reflects the commercial and operational picture together. A rep about to ask for more volume can see that the customer's last two containers were delayed — before the customer brings it up.

A Rep's Day With the Copilot

At 8:30 the Day Start tab shows a reply waiting from a shipper asking about Shanghai to Felixstowe space, a 2pm visit with no heads-up sent, and an importer who has not heard from the company in five weeks. The rep sends the reply from a Zavin draft, accepts the heads-up email for the visit, and plans a call with the quiet importer for Thursday.

After the visit, one line — “Good meeting, they ship 12 boxes a month to Jebel Ali, wants a rate by Friday, send thanks” — logs the outcome, saves the notes, plans the follow-up, and opens a thank-you draft. At Day Close, nothing is left to type up. The record of the day was written while the day happened.

Safe by Design

The copilot acts with each rep's own permissions, never more. Simple changes, such as moving a call, happen at once and can be undone for five seconds. Changes that matter more ask for confirmation first, on a card that shows exactly what will change.

Every week, each rep sees a “What Zavin did for you” summary: the questions asked, the changes made and undone, and the emails sent from Zavin drafts. Admins decide who can use the copilot with a single permission, and field-level access control applies to everything it reads. The AI does the typing; you keep the judgment.

Shared With Pricing and Operations

The same assistant is available on every page through Ask AI, where it can find, count, create, and update records, with confirmation cards on sensitive fields. What the sales team records in the morning is what the pricing desk sees when the RFQ arrives in the afternoon, and what operations sees when the booking turns into a shipment.

In Zavin, a rep's notes are not stranded in a sales tool; they sit on the freight CRM account that pricing and operations already work from, next to its open quotes and live shipments.
